This Privacy Policy applies to fangearhq.com, every FanGearHQ organization subdomain store, partnership applications, customer-support interactions and related FanGearHQ services. FanGearHQ is committed to handling personal information responsibly under applicable Canadian privacy laws, including Alberta’s Personal Information Protection Act and, where applicable, federal privacy law.

- Technical and usage information, such as IP address, browser, device, pages viewed, referring source, cookie identifiers and analytics events.
4.2 How We Use Information

- Create, maintain and administer organization stores and calculate partner statements and payouts.
- Prevent fraud, protect accounts, secure the websites and enforce our terms.
- Operate, troubleshoot, measure and improve FanGearHQ websites, products and services.
- Send transactional messages and, with appropriate consent or another lawful basis, promotional communications.
- Meet tax, accounting, legal, regulatory and recordkeeping obligations.
4.3 Consent and Choices
We seek meaningful consent where required and collect, use and disclose personal information only for reasonable purposes. Information provided to place an order is used and shared as reasonably necessary to process payment, produce and deliver the order and provide customer support. Newsletter marketing is optional and is not a condition of purchasing.
You may contact our Privacy Officer to withdraw consent for optional uses, subject to applicable legal limits. We will explain any consequences for requested services. You can unsubscribe from newsletters using the link in a marketing email.
4.4 Cookies and Similar Technologies
FanGearHQ websites use cookies and similar technologies for checkout, accounts, security, site operation and remembering preferences. We use Google Analytics 4 to understand use of the main website and organization stores, including pages viewed, device and browser information, referring sources and shopping activity. We do not use advertising pixels or remarketing tools.
You can manage or block cookies through your browser settings, although this may affect checkout and other website functions. Google also offers a browser add-on to opt out of supported Google Analytics tracking. Contact our Privacy Officer with questions about analytics or your privacy choices. Where applicable law requires consent for non-essential tracking, we must obtain that consent before using it.
4.5 When We Share Information
We share information with service providers only as reasonably needed for the purposes described in this policy. Website hosting and ecommerce providers process account, order and technical information to operate and secure our stores. Credit-card payment processors and PayPal process payment and transaction information to complete purchases, prevent fraud and handle refunds.
Production and fulfilment providers receive the order details, personalization or artwork, recipient contact details and delivery address needed to make and ship products. Delivery providers receive the recipient and shipping information needed to deliver and track orders. Email and newsletter providers process contact details, subscription preferences and communications to send service messages and newsletters. Google Analytics processes technical and usage information to measure website and store activity.
We require providers handling information on our behalf to protect it and use it for the services they provide to us. Payment providers may also process information under their own privacy policies. We may disclose information when required by law, to protect rights or safety, in connection with a business reorganization or sale, or with the individual’s consent. We do not sell or rent personal information.
4.6 Partner Organizations
Partner organizations receive aggregated sales totals and reports for their store and fundraising payouts. We do not provide customer names, email addresses, delivery addresses or customer-level order records as part of this reporting.
4.7 Processing Outside Canada
Some service providers and production or fulfilment locations process personal information outside Canada. This may involve website hosting and support, payment processing, production and delivery, email services or analytics. Information processed in another country is subject to that country’s laws and may be accessible to its courts, law-enforcement or government authorities.
To obtain written information about our policies and practices for service providers outside Canada, including the countries where personal information is collected, used, disclosed or stored and the purposes for that processing, contact the Privacy Officer, FanGearHQ, at info@fangearhq.com or the mailing address in section 4.14. The Privacy Officer can answer questions about these providers’ handling of personal information.
4.8 Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including customer service, warranty and return handling, fraud prevention, partner accounting, tax and legal obligations. Information is then securely deleted, destroyed or anonymized where reasonably possible.
4.9 Security
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
4.10 Access and Correction
You may request access to personal information FanGearHQ holds about you or ask us to correct inaccurate information, subject to legal exceptions. We may need to verify your identity before responding.
4.11 Marketing Communications
We use an email newsletter service to manage subscriptions and send FanGearHQ marketing communications, processing contact details, subscription preferences and unsubscribe status. We send commercial electronic messages only with consent or another basis permitted by Canada’s anti-spam legislation. Marketing messages identify the sender and include a working unsubscribe method. Unsubscribe requests are processed as required by law. Unsubscribing from marketing does not stop necessary transactional order and account messages.
4.12 Children and Youth
Our stores are intended for purchasers capable of completing an online transaction. A parent or guardian should place orders for children. We do not knowingly collect personal information directly from a child where parental consent is required.
4.13 Changes to This Privacy Policy
We may update this policy as our services, providers or legal obligations change. The current version and effective date will be posted on the website. We will provide notice of material changes and obtain fresh consent where required before using personal information for a new purpose or making a new disclosure.
